POSITION TITLE: Data Clerk - Middle School

 

EXEMPTION STATUS: Non-Exempt

 

REPORTS TO: Campus Administrator Assigned

 

TERMS OF EMPLOYMENT: 11 months

 

 

Primary Purpose:

Enter and maintain student records in the computer system, including student demographics, student and teacher schedules, grades, transcripts and PEIMS information.

 

Qualifications:

 

Education/Certification

High school diploma or GED

 

Special Knowledge/Skills

Ability to use computer and software to develop spreadsheets, databases, and perform word processing

Proficient keyboarding, file maintenance and 10-key skills

Effective organizational, communication (verbal and written), and interpersonal skills

Basic math skills

Ability to meet established deadlines

 

Experience:

Three years of data entry experience

 

Major Responsibilities and Duties:

 

Records and Reports

  • Enter data on student enrollment and withdrawals in accordance with district policy and in compliance with PEIMS reporting standards.
  • Input and maintain data for student PEIMS accountability.
  • Enter student demographic information for new students and update and maintain information for current students.
  • Enter student schedules and maintain schedule files daily.
  • Maintain master schedule and update enrollment and schedules, as assigned
  • Maintain and update grade files and report cards for all students on a six-week basis
  • Issue proof of enrollment forms to students, as needed.
  • Distribute report cards to students and grade reports to principal.
  • Assist in compiling information for preparing various reports.

Clerical Support

  • Assist with leaver accounting.
  • Receive incoming calls and faxes, take reliable messages, and route appropriately.
  • Perform clerical duties, as assigned.

  • Maintain familiarity with the district’s curriculum to better serve the needs of students.
  • Participate in professional learning, staff meetings, and special events as assigned.

  • Articulate the district’s mission and goals to the community and solicit community support.

Posture: Prolonged sitting and standing, occasional kneeling/squatting, bending/stooping, pushing/pulling, twisting, reaching
Motion: Frequent repetitive hand motions, keyboarding, use of mouse, wrist flexion/extension
Lifting: Lifting and carrying up to 30 pounds without assistance, 30-55 pounds with assistance, and more than 55 pounds with appropriate assistance
Environment: Work is performed in an office setting; occasional in-district travel; occasional irregular and/or prolonged hours
Mental Demands: Maintain emotional control under stress, work with frequent interruptions
